Who we are looking for:

Oasis is looking for a dynamic and proficient Office Manager with 8+ years of experience managing the front-end operations of an office (preferably in a health care setting). If you are someone who prides themselves on the ability to handle whatever is thrown their way, and you are happy to wear a variety of hats, then this could be the role for you.

In this role, you would be reporting into the Medical Director and supporting the overall administrative, financial, human resources, and IT functions of the Clinic as well as its overall goals and objectives. Primarily, you would be leading your team of Admin in providing exceptional care for our patients. You would also foster a work culture that is consistent with the values of the clinic. You would establish and maintain collaborative working relationships within and outside the organization, as well as maintain good public relations.

What you’ll be doing

In addition to the above overview, you will be responsible for:

  • Overseeing the day-to-day operations of the clinic
  • Leading the administrative team and stepping in to support administration as needed
  • Providing financial counseling to patients for their prescribed treatment
  • Receiving and processing payments and maintaining client financial records
  • Managing Accounts Payable and Receivables
  • Preparing Payroll
  • Tracking and reconciling sick and vacation days
  • Addressing employee concerns and issues
  • Addressing any health and safety issues as per the clinic’s protocol
  • Assisting with recruiting, employee orientation, development, and training
  • Educating staff on the Clinic’s policies and procedures
  • Ensuring the overall physical ambiance of the Clinic, including hiring and supervising cleaning and maintenance personnel to maintain its cleanliness and ensure it meets health and safety regulations
  • Liaising with marketing
  • Resolving issues with the electronic medial record
  • Liaising with external IT Company to investigate, determine and assist in solving the nature of software and hardware issues
  • Ability to work overtime on occasion
  • Other special projects and responsibilities as they arise

What you’ll bring:

  • A commitment to customer (i.e., patient) care
  • 8+ years in an Office Management role, within a healthcare setting
  • Degree in business or related field
  • Experience leading a team of Administrators
  • Previous Payroll experience
  • Strong Computer Skills
  • Basic Bookkeeping (AP/AR) skills
  • Knowledge of Alberta Employment Standards and Human Rights Legislation
  • Excellent executive functioning skills (organization, time management, pro lem-solving etc.)
  • Superior verbal and written communication skills
  • Ability to deal directly with physicians and colleagues to build consensus, establish trust and foster a positive culture.
  • Ability to maintain good compliance and relations with the College of Physicians and Surgeons of Alberta
  • Ability to deal with stress and a high-pressure work environment

Who we are looking for:

Oasis is looking for an extremely organized, efficient, and pleasant Referral Coordinator with 3+ years of administrative experience (preferably in a health care setting). If you are someone who cares deeply about people and patients, then this could be the role for you.

In this role, you would be reporting into the Officer Manager and ensuring the successful introduction of new patients to the Clinic. In addition, you would ensure the proper Coordination of patient files and patient trajectories as they begin their fertility journeys. You would also provide ongoing back up to reception.

What you’ll be doing

In addition to the above overview, you will be responsible for:

  • Reviewing incoming referrals (emails/faxes) from medical doctors
  • Addressing patient self-referrals to the Clinic
  • Making initial contact with potential patients, collecting relevant patient information and setting up the initial consult with the doctor
  • Creating medical files/patient charts
  • Following up with referring physicians
  • Setting up patients in patient portal (EIVF)
  • Assisting patients with navigating the patient portal
  • Ensuring patients fill out patient history form prior to initial consult
  • Adding patient appointments to physician’s calendar
  • Assisting other Admin staff in taking payment and issuing receipts
  • Assist other Admin staff in informing/advising patients about payments
  • Answering Clinic phones and email
  • Assisting patients with questions
  • Keeping reception and waiting room neat and tidy
  • Ensuring Covid protocol is met (sanitization, masking, etc.)
  • Other responsibilities as required

What you’ll bring:

  • A commitment to patient care
  • 3+ years in an Administrative role, preferably within a healthcare clinic
  • MOA certification is preferred
  • Strong computer skills

Who we are looking for:

Oasis is looking for a compassionate and patient-centered Reproductive Endocrine (R/E) Nurse with 5+ years of experience in women’s health settings. If you are someone who wants to join a team of the best professionals working toward the ultimate goal of attaining the highest possible pregnancy success outcomes and take home babies, with the least morbidity and multiple birth rates of any clinic, then this could be the role for you.

In this role, you would be reporting into the Nurse Leader and using your theoretical knowledge and clinical expertise to provide holistic, direct patient care. You will autonomously carry out Oasis’ clinical practices and delegated medical acts. This would require your close collaboration with the attending Reproductive Endocrinologist and excellent communication with clinic staff and families. All aspects of your R/E Nurse practice is based on current theory and research. As a result, you will participate in establishing and maintaining standards of practice, policies, and procedures.

What you’ll be doing

In addition to the above overview, you will be responsible for:

  • Providing nursing care to all patients and their families in a collaborative interdisciplinary team environment
  • Carrying out all delegated medical acts, including reproductive therapy treatments
  • Teaching patients about their treatments, their cycles, as well as how to administer self- injections.
  • Carrying out the necessary procedures and documentation as prescribed by Health Canada for the donor sperm service
  • Accurately documenting all patient interactions.
  • Participating in the development of policies, procedures, and standards, as they relate to treatment of infertility patients and their families.
  • Assisting with planning and the implementation of changes within the assisted reproductive therapies service
  • Reporting any critical incidents in a timely fashion to the Medical Director and participate in continuous quality assessment and risk management on an ongoing basis.
  • Participating on appropriate committees
  • Assisting with preparation of quarterly reports
  • Preparing for site visitation and accreditation by CPSA or any other licensing body that Oasis deems necessary.
  • Advancing nursing knowledge by participating in research-related activities.
  • Critically evaluating research data and assisting the Clinic Director in implementing findings that affect patient care.
  • Acting as an effective team member by liaising with other staff, sharing opinions, debating issues and aligning personal objectives with those of the team.
  • Maintaining standards of clinical practice as prescribed by the professional body of the College and Association of Registered Nurses of Alberta (CARNA).

What you’ll bring:

  • Registered Nurse’s certification, in good standing with CARNA
  • Five years’ previous work experience in a women’s health setting
  • Previous experience in applying reproductive technologies is an asset
  • Previous work experience in a high – risk area (labor and delivery an asset)
  • Certification in CPR / AED
